3. How We Use Your Information

We use the information we collect to:

• Generate your audit reports and track your REPS/STR hours

• Send transactional emails (account confirmation, billing receipts)

We do not use your data to train AI models, sell to third parties, or serve advertising.

4. Data Storage and Security

Your data is stored using Supabase, a secure cloud database platform. Uploaded files are stored in encrypted cloud storage. We implement industry-standard security measures including:

• Encrypted storage for sensitive data
• Authentication required to access your data
• Regular security reviews

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

We use the following third-party services to operate RepsRecord:

6. Your Tax Data and Confidentiality

We understand that your hour logs represent sensitive tax documentation. We treat this data with the highest level of confidentiality:

• Your time logs are only accessible by you and authorized RepsRecord support staff when necessary to resolve technical issues
• We do not share your tax-related data with the IRS or any government agency except as required by law
• We do not share your data with your CPA, tax preparer, or any third party unless you explicitly request it or authorize it

7. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription:

• Your data is retained for 90 days after cancellation
• After 90 days, your data is permanently deleted from our systems
• We recommend downloading your audit report before cancelling

8. Your Rights

You have the following rights regarding your data:

• Access: Request a copy of the data we hold about you
• Correction: Request correction of inaccurate data
• Deletion: Request deletion of your account and data
• Portability: Request your data in a portable format (via the audit report export)
• Opt-out: Opt out of non-transactional communications at any time

9. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) gives you specific rights regarding your personal information:

• Right to Know: Request disclosure of what personal information we collect and how we use it.
• Right to Delete: Request deletion of your personal information, subject to legal exceptions.
• Right to Opt-Out of Sale: We do not sell your personal information. No opt-out is needed.
• Right to Non-Discrimination: We will not discriminate against you for exercising CCPA rights.

To submit a CCPA request, email support@repsrecord.com with "CCPA Request" in the subject. We respond within 45 days.
